Office Manager

Tecogen, a Waltham based manufacturer of environmentally friendly natural gas chillers and cogeneration modules, ( has an opening for an Office Manager.

Administrative tasks include, but are not limited to: Providing general administrative support such as answer the main phone line, welcoming visitors, sorting and distributing incoming correspondences; updating and distributing organizational material, including the company contact list, to company employees. Planning lunches, holiday parties and special events for visiting groups and company employees. Maintaining technical knowledge of office equipment; organizing and maintaining registration and title records for company vehicles; purchasing office supplies, ordering and distributing company apparel for employees; and assist in resolving any administrative problems.

Sales and Marketing tasks include, but are not limited to: Maintaining spreadsheet for upcoming industry trade shows and events. Reserving booth space and arranging on-site show services. Preparing displays, furniture and literature for each event. Creating and updating marketing materials including product brochures, case studies, displays, and sales presentations. Designing print advertising for industry publications. Printing and maintaining an adequate stock of all sales literature. Maintaining the company website. Preparing engineering submittals, entering sales orders and assembling a folder for each equipment sale.

Engineering and Manufacturing tasks include, but are not limited to: updating the contents of all product manuals. Printing, binding, stocking and distributing all product manuals. Producing informational and warning tags and labels used on completed machines. Maintaining company database of detailed manufacturing and QC information on each machine produced.

Human Resources tasks include, but are not limited to: placing online advertisements for open positions, screening resumes for hiring manager; ordering online background checks for prospective employees; preparing folders of new-hire forms and creating new employee HR file. Arranging phone and email service for new employees. Setting up and organizing offices for new employees. Planning moves within the office when necessary.

Candidate must have good computer skills and be proficient with the Microsoft Office Suite. Very good Microsoft Publisher and Photoshop skills are important. Applicant must be a multi-tasker willing to tackle whatever comes up while being mindful of priorities and deadlines.
